This policy covers information we collect about you when you:

2. Overview of OCR-Based Feature
We provide a feature that uses on-device Optical Character Recognition (OCR) to improve automatic project and task classification within the Ralvie AI platform. This feature works by:
- Capturing screenshots of the active application window
- Extracting limited textual signals from specific regions
- Combining this with activity metadata to improve predictions
OCR processing is designed to be privacy-aware, selective, and context-limited.
3. Information We Collect and How We Use It
3a. Information You Provide to Us
We collect information when you sign up for a trial of Ralvie AI, request contact, or submit a support request. This includes:
- Personal and corporate name and contact information
- Company name, billing address, and support issue details
- Payment information (processed via third-party services such as PayPal or Stripe — we do not store financial data such as credit card numbers)
3b. Activity Data Collected by Sundial
The Sundial application collects data related to user activity, including:
- Name of the application and window title where mouse or keyboard input is active
- Corresponding timestamps and time spent
- User name and email address
This data is initially stored locally within the Sundial application and subsequently synced to the Ralvie cloud under the “Timesheet” section. Even in incognito mode, window titles will be captured. Users may cease tracking by quitting the application. Sundial can be configured to relaunch automatically on system restart.
Sundial does not collect sensitive personal information such as credit card numbers or passwords.
3c. Screenshot Data

4. Screenshot Capture and OCR Processing
4a. Screenshot Collection
When the OCR feature is enabled, the application may capture screenshots of the active user interface during active usage, used to extract contextual signals and improve classification of work activity.
4b. On-Device OCR Processing
OCR is performed locally on the user’s device:
- Raw image data is processed on-device
- Text extraction occurs without sending full screenshots externally (unless explicitly configured otherwise)
4c. Selective Text Extraction
Text is extracted only from specific screen regions:
- Left region — workspace/project context
- Top region — active screen context
- Bottom region — user intent signals
The central content area is not processed by default, reducing exposure to sensitive information.
4d. When Capture Occurs
The system captures screenshots and performs OCR only when:
- The user is actively using their device
- Application or window context changes
- Interaction (e.g., typing or navigation) is detected
The system does not capture or process data when:
- The user is idle
- Applications are minimized or inactive
- No meaningful screen change occurs
5. Information Collected Automatically
You can visit ralvie.ai without identifying yourself. We track internet domain addresses and analyze trends anonymously. Third-party services we use may collect:
- Geography — for marketing purposes (Google Analytics, SEMrush, Ahrefs)
- Referrer — for marketing funnel analysis
- Browser information — for marketing (Google Analytics)
- Operating system type — for marketing (Google Analytics)
- Web pages visited — for marketing and SEO
We use this data to understand website usage, improve quality, and serve relevant ads on third-party sites based on browsing activities.
6. Data Retention
Screenshot Retention
- Screenshots are stored for up to 90 days by default
- Retention duration may be configured by the organization based on internal policies
- After the retention period, screenshots are automatically deleted or anonymized
OCR Data Retention
- OCR-derived data is retained only as structured tokens and metadata
- Raw textual reconstruction is not retained beyond operational necessity
7. Privacy Safeguards
We implement multiple safeguards to minimize data exposure:
- Only selected screen regions are processed; low-confidence or irrelevant text is discarded: Data Minimization

Given the nature of internet communications, Ralvie cannot guarantee absolute security of information during transmission or storage.
9. Enterprise and User Controls

Where permitted:
- Users may have visibility into how their activity is classified
- Users may edit or override predicted tasks or projects
10. Transparency and In-App Disclosure
When the OCR feature is enabled, users receive clear in-product disclosures indicating:
- Screenshots may be captured during active usage

These disclosures ensure users are aware of how the feature operates at all times.
